For Activities at the Open Centre

Prior to your Arrival

The Open Centre will contact you via email or phone prior to your visit to confirm all your details on your booking form are still correct.

*Please note a booking is only confirmed once you have received your booking form which will confirm all your details. If you have not received a booking form, your booking may not be yet confirmed so please call us to clarify your information on 01332 360737 at least 4 weeks in advance of your visit.

Please try to arrive at the time according to your booking form. We understand coaches can often be delayed in traffic so please contact us if you know you are going to be late so we can amend your timetable accordingly. In some rare cases, due to a coach’s late arrival, we may have to cancel one of your visits to a Place of Worship but we will always do our best to accommodate and facilitate the needs of your group to ensure you have the best experience possible. This will always be discussed once you have arrived.

Upon Arrival

Ensure your coach arrives at your agreed booking location (please see your booking form for more details). It is recommended that schools get the phone number of their coach driver in case you need to contact them to amend any timings. Upon arrival you will be greeted by a friendly member of the Open Centre staff, who will do the following;

  • Introduce themselves to the lead staff member and the children
  • Obtain group numbers for fire safety and invoicing reasons
  • Discuss the timetable for your visit (Including any amendments, if necessary)
  • Help unload any lunches, if necessary (Please ensure lunches are bagged up together so they can be unloaded quickly)
  • Recap road safety with all visitors and will provide staff with fluorescent vests for larger groups, if necessary

 

The Open Centre staff member will then take you to your first Place of Worship or Workshop for you to begin your experience. If you are visiting more than one Place of Worship or taking part in more than one Workshop, it is possible that you will work with more than one staff member. Throughout your visit, please don’t hesitate to ask us any questions – “there is no such thing as a silly question.” We are happy for you to take photos throughout your visit but please double check with the staff member leading at the time regarding any restrictions.

All Places of Worship and the Open Centre have toilets (including disabled toilets) so please just ask and we can point you in the right direction.

Once you have completed all your activities for your time at the Open Centre, we will help you get safely on your way home. Please feel free to share your feedback with our staff members prior to departure.

For Activities Off Site (Not at the Open Centre)

Our staff will always try their best to arrive on time according to your booking form. We use several route planners to check travel times and always make extra allowances for travelling long distances, however as you can understand unforeseen traffic and road closures can delay our arrival. If we think we may arrive later than originally planned, the Open Centre will contact you to notify this change of plan and our staff will try their best to accommodate and facilitate the needs of your group to ensure you have the best experience possible. Alterations to the booking, including timings will always be discussed once the staff member has arrived.

Upon Arrival

Upon arrival you will be greeted by a friendly member of the Open Centre staff who can be recognised by their name badge. The staff member will then;

  • Introduce themselves to the lead staff member and the children
  • Discuss the timetable of the visit (Including any amendments, if necessary)

 

If possible we ask Schools to amend their timetable for that day to avoid losing any valuable learning time. Please avoid having break times in the middle sessions as this can really disrupt the flow of learning and the Open Centres staff members activity.

After the activities are complete the Open Centre staff will leave, if you have any feedback comments for the staff member, please don’t hesitate to share it with them.
